Data Deletion Policy

This Data Deletion Policy ("Policy") explains how you can delete your KIBI Sports India ("KIBI Sports," "we," "us," or "our") account and the personal data associated with it, what happens after you submit a deletion request, how long the process takes, and the limited categories of records we may be legally required to retain.
This Policy applies to all KIBI Sports services, including our mobile application, website (kibisports.com), admin portal, sponsorship platform, and marketplace (shop.kibisports.com). It supplements, and should be read together with, our Privacy Policy and Terms of Service. It is provided in accordance with India's Digital Personal Data Protection Act, 2023 (DPDP Act) and is consistent with the account-deletion requirements of the Apple App Store and Google Play.
We honor every valid deletion request. Deleting your account is free of charge.
1. Definitions
- "Account" means the registered user account you create to access KIBI Sports services.
- "Personal Data" means any data about an identifiable individual, as defined under the DPDP Act.
- "Data Principal" means the individual to whom the Personal Data relates (you).
- "Deactivation" means the temporary disabling of your Account at the start of the Grace Period, during which the Account is hidden and inaccessible but not yet permanently erased.
- "Grace Period" means the 30-day window following a deletion request during which the request can be cancelled and the Account restored.
- "Permanent Deletion" means the irreversible removal of your Account and associated Personal Data from our active systems.
2. Your Right to Erasure
As a Data Principal under the DPDP Act 2023, you have the right to request the erasure of your Personal Data where it is no longer necessary for the purpose for which it was collected, or where you withdraw the consent on which the processing was based. You can exercise this right at any time using either of the two methods described below. Erasure is subject only to the limited legal-retention exceptions set out in Section 7.
3. Option 1 — Delete Your Account from the KIBI App (Recommended)
The fastest and recommended way to delete your Account is directly within the KIBI mobile app:
- Open the KIBI app and sign in to your Account.
- Navigate to Profile → Settings → Account.
- Tap Delete Account.
- Review the on-screen summary of what will be deleted, then confirm your request.
On confirmation, your Account is immediately deactivated and enters the 30-day Grace Period described in Section 4. You do not need to contact us separately — your request is logged automatically.
4. The 30-Day Grace Period
To protect you against accidental or unauthorized deletion, every in-app deletion request is followed by a 30-day Grace Period before any data is permanently erased. During this period:
- Your Account is deactivated — your profile, posts, and content are hidden from other users and the platform.
- You are signed out of the app on all devices.
- Your Personal Data is retained in a restricted, inactive state solely so that the Account can be restored if you change your mind.
- Your data is not used for any new processing, matchmaking, or communications, other than messages relating to the deletion request itself.
Cancelling the deletion and restoring your Account. At any time within the 30-day Grace Period, you can cancel the request and fully restore your Account by signing back in to the KIBI app and selecting Cancel Deletion under Settings → Account. Once restored, your profile and content become visible again exactly as before.
After the Grace Period. When the 30-day Grace Period expires without cancellation, your Account moves to Permanent Deletion and your Personal Data is permanently and irreversibly removed from our active systems, except for the limited records described in Section 7. After this point the deletion cannot be reversed and the Account cannot be recovered.
5. Option 2 — Request Account Deletion by Email
If you are unable to access the app, you can request account deletion by email. Send your request to admin@kibisports.org from the email address associated with your KIBI Account, using the subject line:
Delete My Account
If you registered with a phone number rather than an email address, include your registered phone number in the body of the message so we can locate your Account. After we verify your identity (see Section 6), your request is processed and a confirmation is sent to you once Permanent Deletion is complete.
6. Identity Verification
To protect your Account against fraudulent or malicious deletion requests, we verify the identity of the person making the request before we act on it. For in-app requests, verification is provided by your active login session. For email requests, we confirm that the request originates from the registered email address or phone number on the Account, and we may ask for additional information reasonably necessary to confirm your identity. We will not delete an Account where we are unable to verify that the requester is the account holder.
7. What Is Deleted and What We May Retain
When Permanent Deletion is complete, we remove the Personal Data associated with your Account, including:
- Your profile information (name, photo, bio, date of birth, gender, location, and contact details)
- Login and authentication data, including linked Google or Apple sign-in credentials
- Sports and athlete-related information, achievements, and uploaded media
- Account activity associated with your profile, including posts, follows, comments, and similar interactions
We may retain a limited set of records where retention is required by law or necessary for legitimate business purposes such as tax, accounting, audit, regulatory compliance, fraud prevention, or the establishment and defense of legal claims. Such records are retained only for the period required by applicable law, are kept access-restricted, and are not used to re-identify you or for any other purpose. The principal categories are:

8. Deletion Timeline

Email-based requests follow the same overall process; the Grace Period begins once we have verified your identity and actioned the request.
9. Linked Sign-In and Third-Party Services
If you signed in using Google or Apple, deleting your KIBI Account removes the connection between KIBI Sports and that provider, along with the authentication credentials we stored. It does not delete your underlying Google or Apple account, which remains under your control and that provider's own privacy terms. Where data was shared with third parties in line with our Privacy Policy (for example, payment processors), retention by those parties is governed by their respective policies and applicable law.
10. Deletion of a Minor's Data
A parent or legal guardian, or an organization that manages a minor athlete with appropriate consent, may request deletion of that minor's Personal Data using either method above. We may request reasonable proof of authority before processing such requests, consistent with the DPDP Act's provisions on the processing of children's data.
11. Grievance Redressal
If your deletion request is delayed, refused, or you are otherwise dissatisfied with how it was handled, you may raise a grievance with us using the contact details in Section 13. If you remain unsatisfied with our response, you have the right to file a complaint with the Data Protection Board of India.
12. Changes to This Policy
We may update this Policy from time to time to reflect changes in our practices or in applicable law. Material changes will be communicated through the platform or by email, and the "Last updated" date above will be revised accordingly.
